How to follow up on an email without being pushy

Practical phrasings and rules of thumb for when and how to follow up on an email you haven't received a reply to.

You sent an important email. Four days have passed. No reply. Should you nudge — and how do you do it without seeming impatient?

Most of us postpone the follow-up because it feels uncomfortable. But the numbers are clear: the vast majority of replies that don't come from the first email come from the follow-up. The recipient rarely ignored you on purpose — your email simply drowned in their inbox.

When should you follow up?

A good rule of thumb:

  • Internal colleagues: after 1–2 business days.
  • Clients and partners: after 3–4 business days.
  • Cold outreach: after 4–7 days — and cap it at two follow-ups.

If the email has a deadline, follow up well before the deadline — not the day after, when the damage is done.

Three phrasings that work

1. The short reminder. Brief and friendly — and without apologies:

Hi Sarah — just following up on my email from Tuesday about the Q4 delivery. Have you had a chance to look at it?

2. Make it easy to reply. Lower the bar for a response by asking one closed question:

Should we keep Friday as the deadline, or do you need more time? A quick yes/no is plenty.

3. Add value. Especially in external outreach: give the recipient a new reason to reply instead of just repeating yourself — a relevant number, a short case, or a fresh angle.

What you should never write

Drop "I know you're busy, but…" and "Sorry to bother you again". Apologies signal that your request isn't important. Be friendly, direct and specific — following up on something you're waiting for is neither pushy nor rude.
